If the MCAA block of rooms is filled prior to the cut-off date, attendees may have to pay prevailing rates subject to the hotel's availability.
Shortening a stay or cancelling a room reservation must be made by Monday, August 10. Group rates guaranteed only through that date based on MCAA availability and Hotel availability. No-show results in one night's charge and loss of room for all nights; shortening stay after check-in incurs one night's charge.
PLEASE DO NOT CONTACT THE HOTEL DIRECTLY for changes — use GRI instead so the room can be resold.
Hotel Availability: Rooms are secured as a block and available on a first come first served basis. It is possible the group rate may not be available if the MCAA sells out its original block of rooms. If this occurs, the guest will be notified while the MCAA attempts to secure the best rate available at the time of the request.
Cancellation Date: To avoid charges for full stay, reservations must be cancelled 14 days prior to scheduled arrival.
Cutoff Date: Reservations by attendees must be received no later than Monday, August 10. After Monday, August 10, blocked rooms are released back to the hotel for sale to the general public. Rooms may still be available through the group, however, the group will have to reach out to the hotel to secure a rate (which may be different than the original group rate) and potential availability. Guests should reach out to MCAA before reaching out to the hotel to try to secure a room after Monday, August 10.
Confirmation: When you submit your housing form (below), you will receive an automatic email verification that details your request. If you do not receive this automatic response, please check to be certain you have submitted the request form. Once your request has been processed and your room reserved, GRI will email you a separate reservation confirmation. Guarantee: The hotel requires a valid credit card guarantee to secure each reservation. You will be contacted by a GRI Program Manager to provide this card information as a guarantee. Additionally at check-in, each guest will be required to provide a valid credit card to pay for room, tax, fee and all incidentals.
